Moving your patients from Cliniko to AbanteOS
Bring your Cliniko patients and their appointments across from Cliniko's own CSV exports.
Last checked: 24 October 2026
You move your own patients, so you decide what comes across and when. Nothing is saved until you’ve checked every row, nothing is sent to your patients, and you can undo your latest import if something looks wrong.
What you can bring
- Your patient list: name, email, mobile, Cliniko patient ID, and when they were added. Date of birth, medical alerts, emergency contact and Cliniko's patient notes go into each patient's notes, labelled.
- Your appointments, past and upcoming, from the Attendees export: who, with which practitioner, when, the appointment type, and whether the patient arrived, did not arrive or cancelled.
1. Get your data out of Cliniko
Export your patients
- Sign in to Cliniko as an administrator (only administrators can export everything).
- Go to Settings, then Data exports.
- Choose Patients, and set the date range to Any time → Any time so you get everyone, not just recent patients.
- Pick the Spreadsheet format and click Export data. Larger exports can take a few minutes; you can tick “Send email when done”.
- When it's ready, click the file name to download it (it's called something like Patients-Cliniko-20261024.csv).
Cliniko's exports expire after two weeks, so export again if you come back to it later.
Export your appointments
- In Settings › Data exports, choose Attendees. It has one row per patient per appointment, with the patient's details.
- Set the date range to Any time → Any time for your full history, then click Export data and download the file.
- Don't use Calendar events: Cliniko says that export has no patient details, so appointments can't be matched to anyone.
If you filter the spreadsheet before sending it to anyone, delete the hidden rows: Cliniko points out that filtering only hides them.
These steps are based on Cliniko’s public help pages at the time of writing (last checked 24 October 2026). If something looks different, check their help centre or ask their support for the latest steps.
2. Import your patients
- Sign in to AbanteOS, open Patients and click Move clients over.
- On “Clients from a file”, choose Cliniko in “From”, then click Choose file and pick your Patients export. Up to 2,000 patients at a time.
- Check the columns. We recognise Cliniko’s columns and match them for you; change any that are wrong and leave the ones you don’t need on Skip.
- Check every row. Each one shows as Ready, Invalid (for example an email that isn’t valid) or Duplicate (the same email or Cliniko patient ID twice, or someone who’s already your patient). Nothing is saved yet, and Download error report gives you the list with the reasons.
- Untick “Make invite links” if your patients won’t use the app yet, then click Import. Nothing is emailed to anyone.
3. Import your appointments
- Open the Appointments tab in Move clients over, choose Cliniko and pick your Attendees export (up to 5,000 appointments at a time).
- Check the columns and the date order: day/month/year for UK and Australian accounts, month/day/year for US ones.
- Choose who each practitioner in the file is on your team, or “Don’t import”.
- Check every row: Ready, Can’t import (for example no patient with that Cliniko patient ID or email), Duplicate (already imported) or Skipped (it clashes with another appointment for that practitioner). The summary shows how many are upcoming, past, cancelled and did not arrive.
- Click Import. Past appointments keep whether the patient arrived, did not arrive or cancelled; upcoming ones go into the diary as booked.
Good to know for Cliniko:
- Import your patients first (Patients from a file, “From” Cliniko), then your appointments (the Appointments tab). Appointments are matched to patients by Cliniko patient ID, then email.
- Patients without an email can still be imported. Their Cliniko patient ID stops them being added twice if you import the same file again.
- Add your practitioners in Settings › Team before importing appointments. You'll choose who each Cliniko practitioner is; anyone you set to “Don't import” is left out.
- Times are read in your business's time zone, so a 9:00 appointment in Cliniko is 9:00 in your diary.
- Imported appointments don't send booking confirmations. Email reminders for upcoming appointments are off unless you tick “Send the usual email reminders”. Texts only go to patients who have agreed to them in AbanteOS.
- A practitioner can't be double-booked, so overlapping appointments in your file are listed as Skipped, with the reason. Download the error report to see every row that wasn't imported.
Made a mistake? Undo your latest import from Past imports in Move clients over. Appointments you’ve changed since (moved, marked, invoiced or noted) are kept.
4. Invite your patients (optional)
If you want patients to use the app for exercises, booking or messages, copy the invite links shown after the patient import and send them yourself. Each link works for 14 days; you can make a new one from the patient’s record.
Tip: keep your Cliniko account until you’ve checked your diary and records in AbanteOS, and stop online booking in Cliniko so nobody books into the old diary.
What doesn’t carry over
- Treatment notes and patient attachments (Cliniko exports attachments as a ZIP, in a folder per patient). We don't import these yet, so keep your Cliniko exports as your record and add what you need to each patient.
- Invoices, payments and Cliniko's patient forms. Keep your Cliniko exports as your record of these.
- Addresses, Medicare and DVA numbers, and marketing preferences. Ask patients to confirm what you need again.
- Group appointments and unavailable blocks. Each attendee comes across as their own appointment, but overlapping ones for the same practitioner are skipped.
- Passwords. Patients who use the app create a new AbanteOS account from your invite link.
- Online booking links. Share your AbanteOS booking page with patients once your appointment types are set up.
