Moving your patients from Pabau to AbanteOS
Bring your Pabau clients and appointments across from Pabau's own report exports.
Last checked: 24 October 2026
You move your own patients, so you decide what comes across and when. Nothing is saved until you’ve checked every row, nothing is sent to your patients, and you can undo your latest import if something looks wrong.
What you can bring
- Your patient list: the columns you add to a Pabau Clients report, such as name, email, mobile and Pabau's client ID.
- Your appointments, past and upcoming, from a Pabau Appointments report: client, employee (practitioner), service, date, time and length, and status if you add it.
1. Get your data out of Pabau
Export your clients
- Sign in to Pabau, hover over Analytics in the left sidebar and click Reports.
- Click Build a custom report, choose Clients as the object and start from scratch. Set the filter to “Showing Client where Active is Active”.
- In the Fields sidebar on the left, add the columns you want: the client's first and last name (or Client Name), email, mobile and client ID.
- Open the three-dot menu at the top right, choose Export, pick CSV (or Excel) and click Export.
- Open the Exports page (from the confirmation message, or Exports in the reports sidebar) and click Download once the status says Ready.
Pabau keeps each export for one hour, so download it straight away.
Export your appointments
- In Reports, build a custom report with Appointments as the object (or start from a pre-built one such as Appointment Schedule).
- Set the Appointment Date filter to cover your whole history and the upcoming appointments you want, and click Run.
- Add columns for the client (Client Name, and email or client ID if you can), the employee, the service, the appointment date and time, the length or end time, and the status.
- Export it as CSV and download it from Exports, as above.
These steps are based on Pabau’s public help pages at the time of writing (last checked 24 October 2026). If something looks different, check their help centre or ask their support for the latest steps.
2. Import your patients
- Sign in to AbanteOS, open Patients and click Move clients over.
- On “Clients from a file”, choose Pabau in “From”, then click Choose file and pick your Clients report export. Up to 2,000 patients at a time.
- Check the columns. Pabau doesn’t document the column names, so match each one yourself (Full name or First name and Last name, Email, Phone, ID from your old system) and leave the ones you don’t need on Skip.
- Check every row. Each one shows as Ready, Invalid (for example an email that isn’t valid) or Duplicate (the same email twice, or someone who’s already your patient). Nothing is saved yet, and Download error report gives you the list with the reasons.
- Untick “Make invite links” if your patients won’t use the app yet, then click Import. Nothing is emailed to anyone.
3. Import your appointments
- Open the Appointments tab in Move clients over, choose Pabau and pick your Appointments report export (up to 5,000 appointments at a time).
- Check the columns and the date order: day/month/year for UK and Australian accounts, month/day/year for US ones.
- Choose who each practitioner in the file is on your team, or “Don’t import”.
- Check every row: Ready, Can’t import (for example no patient with that Pabau patient ID or email), Duplicate (already imported) or Skipped (it clashes with another appointment for that practitioner). The summary shows how many are upcoming, past, cancelled and did not arrive.
- Click Import. Past appointments keep whether the patient arrived, did not arrive or cancelled; upcoming ones go into the diary as booked.
Good to know for Pabau:
- Import your patients first (Patients from a file, “From” Pabau), then your appointments (the Appointments tab, “From” Pabau).
- Pabau's column names depend on the fields you add, so check each match. Map the client ID, if you added it, to “ID from your old system”.
- If your appointments file has no client ID or email, tick “Match by name”. Patients who share a name need adding in the diary by hand.
- Add your practitioners in Settings › Team first, then choose who each Pabau employee is, or “Don't import”.
- Times are read in your business's time zone. Imported appointments don't send booking confirmations, and email reminders are off unless you tick “Send the usual email reminders”. Overlapping appointments for the same practitioner are listed as Skipped.
Made a mistake? Undo your latest import from Past imports in Move clients over. Appointments you’ve changed since (moved, marked, invoiced or noted) are kept.
4. Invite your patients (optional)
If you want patients to use the app for exercises, booking or messages, copy the invite links shown after the patient import and send them yourself. Each link works for 14 days; you can make a new one from the patient’s record.
Tip: keep your Pabau account until you’ve checked your diary and records in AbanteOS, and stop online booking in Pabau so nobody books into the old diary.
What doesn’t carry over
- Medical forms, consents, treatment notes and photos (EMR). Pabau's reports can't export these; download them from each client card, or ask Pabau for its managed full export (£450 + VAT at the time of writing, or free when you cancel with 30 days' notice).
- Invoices, payments, packages, memberships, vouchers and loyalty.
- Leads, marketing preferences and medical form templates.
- Passwords. Patients who use the app create a new AbanteOS account from your invite link.
- Online booking links. Share your AbanteOS booking page with patients once your appointment types are set up.
