Moving your patients from WriteUpp to AbanteOS
Bring your WriteUpp patients and their appointments across from WriteUpp's own Data Export tool.
Last checked: 24 October 2026
You move your own patients, so you decide what comes across and when. Nothing is saved until you’ve checked every row, nothing is sent to your patients, and you can undo your latest import if something looks wrong.
What you can bring
- Your patient list: first name, surname, email, mobile and WriteUpp WUID. Date of birth and home phone go into each patient's notes, labelled.
- Your appointments, past and upcoming, from WriteUpp's Appointments export: who, with which clinician, when and how long, and (if the file has a status) whether they were cancelled or did not attend.
1. Get your data out of WriteUpp
Export your patients
- Sign in to WriteUpp as a Site Administrator (WriteUpp only lets Site Administrators use Data Export).
- Open the menu in the top left-hand corner, choose Tools, then Data Export.
- Open the Patients tab and click Export to CSV (Export to Excel works too). The file downloads to your computer.
The file has WUID, National Health #, First Name, Surname, DoB, Address, Postcode, City, Home Phone, Mobile Phone and Email columns.
Export your appointments
- In Tools › Data Export, open the Appointments tab.
- Click Export to CSV (or Export to Excel) and save the file.
At the time of writing, WriteUpp's help pages don't list the columns in its appointments export, so you'll check how each column is matched when you import it.
These steps are based on WriteUpp’s public help pages at the time of writing (last checked 24 October 2026). If something looks different, check their help centre or ask their support for the latest steps.
2. Import your patients
- Sign in to AbanteOS, open Patients and click Move clients over.
- On “Clients from a file”, choose WriteUpp in “From”, then click Choose file and pick your Patients export. Up to 2,000 patients at a time.
- Check the columns. We recognise WriteUpp’s columns and match them for you; change any that are wrong and leave the ones you don’t need on Skip.
- Check every row. Each one shows as Ready, Invalid (for example an email that isn’t valid) or Duplicate (the same email or WriteUpp WUID twice, or someone who’s already your patient). Nothing is saved yet, and Download error report gives you the list with the reasons.
- Untick “Make invite links” if your patients won’t use the app yet, then click Import. Nothing is emailed to anyone.
3. Import your appointments
- Open the Appointments tab in Move clients over, choose WriteUpp and pick your Appointments export (up to 5,000 appointments at a time).
- Check the columns and the date order: day/month/year for UK and Australian accounts, month/day/year for US ones.
- Choose who each practitioner in the file is on your team, or “Don’t import”.
- Check every row: Ready, Can’t import (for example no patient with that WriteUpp WUID or email), Duplicate (already imported) or Skipped (it clashes with another appointment for that practitioner). The summary shows how many are upcoming, past, cancelled and did not arrive.
- Click Import. Past appointments keep whether the patient arrived, did not arrive or cancelled; upcoming ones go into the diary as booked.
Good to know for WriteUpp:
- Import your patients first (Patients from a file, “From” WriteUpp), then your appointments (the Appointments tab, “From” WriteUpp).
- The WUID is kept as the ID from your old system, so importing the same file again won't add anyone twice. The NHS number and address are left on Skip.
- For appointments, check each column: the patient (WUID, email or name), the clinician (Practitioner), when it starts, and when it ends or how long it is. Anything you don't need can stay on Skip.
- Add your practitioners in Settings › Team before importing appointments. You'll choose who each WriteUpp clinician is; anyone you set to “Don't import” is left out.
- Times are read in your business's time zone. Imported appointments don't send booking confirmations, and email reminders are off unless you tick “Send the usual email reminders”.
- A practitioner can't be double-booked, so overlapping appointments are listed as Skipped, with the reason. Download the error report to see every row that wasn't imported.
Made a mistake? Undo your latest import from Past imports in Move clients over. Appointments you’ve changed since (moved, marked, invoiced or noted) are kept.
4. Invite your patients (optional)
If you want patients to use the app for exercises, booking or messages, copy the invite links shown after the patient import and send them yourself. Each link works for 14 days; you can make a new one from the patient’s record.
Tip: keep your WriteUpp account until you’ve checked your diary and records in AbanteOS, and stop online booking in WriteUpp so nobody books into the old diary.
What doesn’t carry over
- Clinical notes. WriteUpp's Notes export is a ZIP with a folder of PDF notes for each patient (named by WUID). We don't import these, so keep the ZIP as your record.
- Assessments, documents and attachments. WriteUpp only exports these one patient at a time, through an Access Request (Tools › Access Requests).
- Invoices (WriteUpp exports them as a CSV inside a ZIP). Keep that file as your record.
- NHS numbers, addresses and next of kin. Ask patients to confirm what you need again.
- Passwords. Patients who use the app create a new AbanteOS account from your invite link.
- Online booking links. Share your AbanteOS booking page with patients once your appointment types are set up.
