Moving your patients from TM3 to AbanteOS
Bring your TM3 patients and appointments across from TM3's Patient Analysis and Appointment Analysis reports.
Last checked: 24 October 2026
You move your own patients, so you decide what comes across and when. Nothing is saved until you’ve checked every row, nothing is sent to your patients, and you can undo your latest import if something looks wrong.
What you can bring
- Your patient list: name, email, phone, TM3 client reference and registration date.
- Your appointments, past and upcoming: who, with which practitioner, the date, time and length, the appointment description, and whether it was booked, arrived, completed, did not attend or cancelled (with the cancellation reason).
1. Get your data out of TM3
Export your patients
- Sign in to TM3 in a web browser and open the Patient Analysis report.
- Set Registered Between from before your first patient to today. TM3 needs a date range, and only patients registered in it are included.
- Set Location Status and Practitioner Status to All, so old locations and disabled practitioners are included. Leave Business, Location and Practitioner blank for everyone.
- Leave Group By Location and Group By Practitioner off, run the report and export it to CSV or Excel.
The report's Contact Details column is the patient's mobile, or their work or home number if there's no mobile.
Export your appointments
- Open the Appointment Analysis report.
- Set Appointments Between to cover your whole history and any upcoming appointments you want to bring.
- Leave Status, Category, Booking Method and Cancellation Reason blank to include everything, and set Location Status and Practitioner Status to All.
- Leave the Group By options off, run the report and export it to CSV or Excel.
TM3's Appointment Analysis has no client reference or email, so appointments are matched to patients by name (we tick “Match by name” for you). Rows with no name are group bookings with several patients.
These steps are based on TM3’s public help pages at the time of writing (last checked 24 October 2026). If something looks different, check their help centre or ask their support for the latest steps.
2. Import your patients
- Sign in to AbanteOS, open Patients and click Move clients over.
- On “Clients from a file”, choose TM3 in “From”, then click Choose file and pick your Patient Analysis export. Up to 2,000 patients at a time.
- Check the columns. We recognise TM3’s columns and match them for you; change any that are wrong and leave the ones you don’t need on Skip.
- Check every row. Each one shows as Ready, Invalid (for example an email that isn’t valid) or Duplicate (the same email or TM3 client reference twice, or someone who’s already your patient). Nothing is saved yet, and Download error report gives you the list with the reasons.
- Untick “Make invite links” if your patients won’t use the app yet, then click Import. Nothing is emailed to anyone.
3. Import your appointments
- Open the Appointments tab in Move clients over, choose TM3 and pick your Appointment Analysis export (up to 5,000 appointments at a time).
- Check the columns and the date order: day/month/year for UK and Australian accounts, month/day/year for US ones.
- Choose who each practitioner in the file is on your team, or “Don’t import”.
- Check every row: Ready, Can’t import (for example no patient with that name), Duplicate (already imported) or Skipped (it clashes with another appointment for that practitioner). The summary shows how many are upcoming, past, cancelled and did not arrive.
- Click Import. Past appointments keep whether the patient arrived, did not arrive or cancelled; upcoming ones go into the diary as booked.
Good to know for TM3:
- Import your patients first (Patients from a file, “From” TM3), then your appointments (the Appointments tab, “From” TM3).
- The TM3 client reference is kept as the ID from your old system, so importing the same patient file again won't add anyone twice.
- Appointments are matched by patient name. If two patients share a name, those rows show as Can't import; add them in the diary by hand.
- We use TM3's Description column as the appointment type (its Appt Type column only says Initial or Follow up).
- Add your practitioners in Settings › Team before importing appointments, then choose who each TM3 practitioner is, or “Don't import”.
- Times are read in your business's time zone. Imported appointments don't send booking confirmations, and email reminders are off unless you tick “Send the usual email reminders”. Overlapping appointments for the same practitioner are listed as Skipped.
Made a mistake? Undo your latest import from Past imports in Move clients over. Appointments you’ve changed since (moved, marked, invoiced or noted) are kept.
4. Invite your patients (optional)
If you want patients to use the app for exercises, booking or messages, copy the invite links shown after the patient import and send them yourself. Each link works for 14 days; you can make a new one from the patient’s record.
Tip: keep your TM3 account until you’ve checked your diary and records in AbanteOS, and stop online booking in TM3 so nobody books into the old diary.
What doesn’t carry over
- Clinical notes, letters and documents. TM3's full data extract (My Account › My Subscription › Extract my files and data, switched on by your TM3 account manager) gives raw CSV files and your notes as PDFs, but TM3 says you lose access once you start it, so do it last. We don't import those files; keep them as your record.
- Invoices, charges and authorisation codes. Keep TM3's reports or the extract as your record.
- Addresses, gender, businesses (insurers) and enquiry sources. Add what you need to each patient again.
- Classes and group bookings with several patients on one row.
- Passwords. Patients who use the app create a new AbanteOS account from your invite link.
- Online booking links. Share your AbanteOS booking page with patients once your appointment types are set up.
