Moving your patients from Physitrack to AbanteOS
At the time of writing, Physitrack's help centre describes no patient-list or programme export, so you bring your patients across from a sheet and rebuild programmes from their PDFs.
Last checked: 24 October 2026
You move your own patients, so you decide what comes across and when. Nothing is saved until you’ve checked every row, nothing is sent to your patients, and you can undo your latest import if something looks wrong.
What you can bring
- Your patient list, from a spreadsheet you make: name, email and mobile.
- Exercise programmes, from Physitrack's PDF print-outs, as draft programmes you check (or rebuilt in the programme builder).
1. Get your data out of Physitrack
Make your patient list
- If Physitrack is linked to your practice system (for example Cliniko, WriteUpp or TM3), import your patients from that system instead: it has the full list, and its guide covers appointments too.
- Otherwise, make a sheet with one row per patient: First name, Last name, Email and Mobile. Google Sheets or Excel are fine.
- Save it as CSV or Excel (.xlsx).
At the time of writing, Physitrack's help centre doesn't describe a way to download your whole patient list (last checked 24 October 2026). If your clinic uses PT Direct, an administrator can be given a “Download client data” permission; Physitrack doesn't describe that file, so ask their support what it contains.
Save your programmes as PDFs
- Click Patients at the top left and open the patient.
- Select the programme and click View program, then click the printer icon at the top right.
- Keep Print exercises ticked, choose the weeks you want, and click Create printable PDF. Save the PDF to your computer.
- For a template, go to Library › Templates, open the template and click the printer icon.
Keep each patient's results (optional)
- Open the patient, click the three dots and then the download button (an arrow pointing into a tray).
- Choose adherence details, outcome measure results and/or messages, and click Download. You get a ZIP of spreadsheets.
If you can't see the download button, your licence administrator may have switched patient exports off.
These steps are based on Physitrack’s public help pages at the time of writing (last checked 24 October 2026). If something looks different, check their help centre or ask their support for the latest steps.
2. Import your patients
- Sign in to AbanteOS, open Patients and click Move clients over.
- On “Clients from a file”, choose Physitrack in “From”, then click Choose file and pick your patient sheet (CSV or Excel). Up to 2,000 patients at a time.
- Check the columns. Physitrack doesn’t document the column names, so match each one yourself (Full name or First name and Last name, Email, Phone, ID from your old system) and leave the ones you don’t need on Skip.
- Check every row. Each one shows as Ready, Invalid (for example an email that isn’t valid) or Duplicate (the same email twice, or someone who’s already your patient). Nothing is saved yet, and Download error report gives you the list with the reasons.
- Untick “Make invite links” if your patients won’t use the app yet, then click Import. Nothing is emailed to anyone.
Good to know for Physitrack:
- Choose Physitrack in “From”, then match each column yourself: Full name (or First name and Last name), Email and Phone. Leave anything else on Skip.
- Patients without an email can still be imported; they just can't be invited until you add one.
- Physitrack isn't a diary, so there are no appointments to bring. If you book in another system, follow that system's guide for appointments.
Made a mistake? Undo your latest import from Past imports in Move clients over.
3. Bring your exercise programmes
Physitrack doesn't export programmes in a form other apps can read exactly (such as a spreadsheet of exercises, sets and reps), only as PDF print-outs or a text summary. So programmes can't be copied across perfectly.
You can try the Programme PDF tab in Move clients over with a Physitrack PDF. It reads the text, matches exercise names to the AbanteOS exercise library (over 2,600 exercises with videos) and gives you a draft programme to check. We haven't tested it on Physitrack's print layout, so expect to fix some exercises, sets and reps by hand. Anything it can't read stays as a note, and nothing is assigned until you say so.
For short programmes it's often quicker to rebuild them in the programme builder: start typing an exercise name and pick it from the list.
4. Invite your patients (optional)
If you want patients to use the app for exercises, booking or messages, copy the invite links shown after the patient import and send them yourself. Each link works for 14 days; you can make a new one from the patient’s record.
Tip: keep your Physitrack account until you’ve checked your patients and programmes in AbanteOS.
What doesn’t carry over
- Physitrack's own exercise videos, images and educational content. Programmes use AbanteOS's exercise library instead.
- Adherence, outcome measure (questionnaire) results and messages. Download them for each patient (step 1) and keep them as your record.
- Activity logs and telehealth call history. Physitrack's activity log download covers the past 90 days, one patient at a time.
- Passwords. Patients who use the app create a new AbanteOS account from your invite link.
- Online booking links. Share your AbanteOS booking page with patients once your appointment types are set up.
